To open OneNote, press the Windows logo key +N. Sign in to OneNote 1. To go to the File menu, press Alt+F. In Narrator, you hear: “File menu.” In JAWS you hear: “Backstage view. File info tab.”
2. To go to Accounts menu, press Y, 2.
You hear: “Account tab.”
3. To sign into your account, press S. In Narrator, you hear: “Accounts window. Type your email or phone number.”
In JAWS, you hear: “Account.

4. Type in your email or phone number, and press Enter.

Open a notebook in OneNote
1. In OneNote, press Ctrl+G to open notebook navigation.
2. To move between notebooks, use the Up and Down arrow keys. To select a notebook, press Enter.
Tip: To create a new notebook, in notebook navigation, press Shift+Tab repeatedly until you hear: “Add Notebook button.”

Create a section
1. In a notebook, to create a new section, press Ctrl+T.
2. The section is created, the cursor is placed on the section tab, and you can type a name for the section.
3. When done, press Enter. The section is named, and the cursor is moved to the page title field.

Add a page
1. If you have more than one section in a notebook, press Ctrl+Shift+G to go to the section navigation. Use the arrow keys to move between the sections. Narrator announces the section names as you move. Press Enter to go to a section.
2. To add a page at the end of the section, press Ctrl+N.
3. A new page is created, the cursor is placed in the page title field, and you can type a title. Add text In a notebook, add or open a section or a page, and start typing.

Tip: To open notebook navigation, press Ctrl+G. To open section navigation, press Ctrl+Shift+G. To open page navigation, press Ctrl+Alt+G. Use the arrow keys to move between the items, and press Enter to select.
Edit text Formatted text contains more information and is often easier to read than plain text. The following tasks explain how you can use the basic text formatting options in OneNote, how to correct misspellings in your text, and which keyboard commands to use for some basic text editing tasks.

Format text
1. In OneNote, select the piece of text you want to format.
2. Press Alt+H to open the Home menu.
3. Select a formatting option, such as: F, F for font F, S for font size P for paragraph formatting, such as text alignment and spacing options 1 for bold To browse the options, use the Tab key or the arrow keys.
To select an option, press Enter. Undo or redo an action To undo an action, press Ctrl+Z. To redo an action, press Ctrl+Y.

Copy and paste content
1. In OneNote, select the piece of content you want to copy.
2. To copy, press Ctrl+C.
3. To paste the copied content, press Ctrl+V.

Correct spelling mistakes
1. In OneNote, press F7, or Alt+R, S to open the Proofing pane. With Narrator, you hear the sentence containing the first spelling error. With JAWS, you also hear the spelling for the misspelled word.
Note: If you do not hear the sentence with the spelling error, press the Down arrow key. You hear: “Read original sentence.” Press Enter.
2. Use the Up and Down arrow keys to browse the spelling suggestions. Your screen reader announces the suggestions as you move.
3. To select an option, press Enter. The misspelled word is corrected, and you’re moved to the next misspelled word, if any.
4. When the spelling check has reached the end of the page, you hear: “The spelling check is complete.” Press Enter to select. The Proofing pane closes.

Print a page
1. On the page you want to print, press Ctrl+P.
2. The Print dialog opens and Narrator announces the current printer option. To change the printer, use the arrow keys.
Tip: To change the printing settings, such as two-sided printing or printing layout or orientation, press Alt+R to open the Printing Preferences dialog.
3. To start printing, in the Print dialog, press Alt+P. If you selected a printer device, the page is printed out. If you selected printing to a file, the Save Print Output As dialog opens. The cursor is placed in the File name field.
Type a file name for the print output. Insert a file Inserting a file (such as a Microsoft Word document) to a page in OneNote places a copy of that file in your notes. The file appears as an icon that you can select and open to edit the contents of the file.
1. In OneNote, place the cursor on the page where you want to insert a file.
2. Press Alt+N to open the Insert tab. Press F to open the File Attachment option.
3. The Choose a file or a set of files to insert dialog opens: The focus is in the File name field. You can type the filename, or use the Tab key or Shift+Tab to navigate the sections within the dialog. Use the arrow keys to move within a section. To open a folder, press Enter. When on the file you want to attach, press Enter.
4. The Insert File dialog opens. Use the Up and Down arrow keys to move in the dialog. The options in the dialog may vary according to the type of file you are attaching. You hear the options as you move.
5. To insert the file, press Enter. Attached files are stored as part of their associated notebook. If you move the notebook to another location, any inserted files move with the notebook.

Insert a table
Tables can make information easier to find and read. Adding a basic table in OneNote is quick and easy.
1. In OneNote, place the cursor anywhere on the page where you want to insert a table.
2. Press Alt+N to open the Insert tab. Press T to open the Tables option.
3. Use the arrow keys to select the size of the table. You hear the currently selected table size as you move. When you hear the size you want, press Enter. The table is inserted and the focus is in the first cell of the table. You hear: “Content block, editing.” Insert tags Tags are a way to categorize and prioritize notes in OneNote. You can tag anything from a single line of text to an entire paragraph.
1. Place the cursor at the beginning of the line of text you want to tag. 2. Press Alt+H to open the Home tab. Press T to open the Tags option.
3. Use the Down and Up arrow keys to navigate the options. You hear the options as you move.
4. Press Enter to select.
Tip: You can search for tagged notes by keyword and category. To search, press Alt+H and then G. The Tags Summary pane opens, and the focus is in the Group tags by field. Press the Down arrow key to open the list of options and press the Down arrow key repeatedly to navigate the options. Press Enter to select. To move to the list of tags, press the Tab key until you hear Narrator read the tagged text. Press Esc to return to the tagged note text in the notebook.

Insert lists
Insert a bulleted or numbered list to organize your text and make it easier to read. Insert a bulleted list Use bullet formatting for creating a list where the items don’t need to be in any particular order.
1. Place the cursor where you want to start the list.
2. Type * (asterisk) and press Spacebar. OneNote starts a bulleted list automatically.
3. Type the list item text. Press Enter to begin a new list item. Insert a numbered list Use number formatting for creating an ordered list that should be followed sequentially.

Insert a picture from file
1. Place the cursor where you want to add the picture.
2. Press Alt+N to open the Insert tab. Press P to open the Pictures option. The Insert Picture dialog opens.
3. In the Insert Picture dialog, use the arrow keys and the Tab key to navigate to the picture you want to insert. To open a folder, press Enter.
4. Press Enter to insert the picture.

Embed an Excel workbook This option creates a copy of your workbook and adds a static image of the workbook in your notes. Above the image there is an icon that links to the fully functioning version of your workbook in Excel. 1. Place the cursor where you want to embed the Excel workbook. 2. Press Alt+N to open the Insert tab. Press X to open the Spreadsheet option. The Existing Excel Spreadsheet option is selected. Press Enter. Tip: You can also create a new spreadsheet. To create and embed a new one, press the Down arrow key and then Enter. 3. The Choose Document to Insert dialog opens. The focus is in the File name field. To move between the dialog sections, use the Tab key or Shift+Tab. To move within a section, use the arrow keys. Press Enter to open folders. When on a file, press Enter to select it. 4. The Insert File dialog opens. Press the Down arrow key once to move to the Insert Spreadsheet option. Press Enter to embed the Excel workbook. You hear the name of the embedded workbook, and the cursor is placed on the page below the embedded workbook. Embed an online video 1. Copy the address of your video source. Note: Not all video sites are supported. For the currently supported sites, check Insert online videos into OneNote 2016 for Windows. 2. In your notebook, place the cursor where you want to insert the video. 3. Press Alt+N to open the Insert tab. Press J to open the Online Video option. The Insert Online Video dialog opens. The focus is in the Video address field, and you hear the contents of the field. 4. Press Ctrl+V to paste the video link. You can also type the address. 5. Press the Tab key until you reach the OK button and then press Enter. A link to the video and the embedded video player is added to your notebook page. Insert audio and video recordings In some cases recording audio or video can be quicker and easier than typing notes. If you decide to take notes while recording, they’re linked to the recording. Before recording audio or video, make sure your computer has a microphone and a webcam and that both are set up and working. Also, ensure that all involved parties are aware of the recording and you have a permission to record. 1. In your notebook, place the cursor where you want to insert the recording. 2. Press Alt+N to open the Insert tab. 3. To record audio: Press A. Recording starts. To pause recording, press Alt+J and then U. To stop recording, press Alt+J and then S. Create a notebook 1. In OneNote, press Ctrl+G to open notebook navigation. 2. Press Shift+Tab repeatedly until you hear “Add Notebook button.” Press Spacebar to select. You’re taken to a new window where the New tab of the File menu is already selected. Narrator announces “New tab item.” On this tab you can select the notebook storing location and name. 3. Press the Right arrow key once to move to the location selection section on the New tab. Then use the Up and Down arrow keys to move between the locations. The screen readers announce the locations as you move. Press Spacebar to select. 4. After you’ve selected a location, the focus moves to the Notebook Name field. Type a name for the notebook, and press Enter. The notebook is created and the cursor is placed in the page title field of New Section 1 in the notebook. Note: If you save to OneDrive or other online location, you may have to sign in if you’re not signed in already. Create a section 1. In a notebook, to create a new section, press Ctrl+T. 2. The section is created, the cursor is placed on the section tab, and you can type the name of the section. 3. When done, press Enter. The section is named, and the cursor is moved to the page title field. Create a section group Section groups can help you keep related sections together. 1. In a notebook, press Ctrl+Shift+G to open section navigation. 2. Press Shift+F10 to open the context menu. 3. Press the Down arrow key until you hear Narrator announce “New Section Group menu item.” With JAWS, you hear: “New Section Group.” Press Spacebar to select. Narrator announces: “New page created, OneNote window, editing, New Section Group.” 4. Type in a name for the section group, and press Enter. The section group is created, and you can now add sections to the group. Create a page 1. In a section where you want to add the page, press Ctrl+N. 2. A new page is created, the cursor is placed in the page title field, and you can type the title. Rename a notebook 1. In OneNote, press Ctrl+G to open notebook navigation. 2. Use the Up and Down arrow keys to navigate to the notebook you want to rename. 3. Press Shift+F10 to open the context menu. Narrator announces “Menu.” 4. Press the Down arrow key until you hear: “Properties menu item.” With JAWS, you hear: “Properties.”Press Spacebar to select. 5. The Notebook Properties dialog opens, and focus is in the Display name field. Type in a new name, and press Enter. The notebook is renamed. Rename a section or a section group 1. In OneNote, press Ctrl+Shift+G to go to section navigation. 2. Use the Right and Left arrow keys to navigate to the section or section group you want to rename. 3. Press Shift+F10 to open the context menu. Narrator announces: “Rename menu item.” With JAWS, you hear: “Rename.” 4. Press Spacebar. Narrator announces “Editing” and the section name. With JAWS, you hear the section name. 5. Type in a new name, and press Enter. The section is renamed. Rename a page 1. In a notebook, press Ctrl+Alt+G to open page navigation. 2. Use the Up and Down arrow keys to navigate to the page you want to rename. 3. Press Shift+F10 to open the context menu. Narrator announces: “Rename menu item.” With JAWS, you hear: “Rename.” 4. Press Spacebar. Narrator announces: “Page title, editing.” With JAWS, you hear: “Page title.” 5. Type in a new name, and press Enter. The page is renamed. Move or copy a section 1. In a notebook, press Ctrl+Shift+G to go to the section navigation. 2. Use the Right or Left arrow keys to navigate to the section you want to move or copy. Narrator announces the section names as you move. 3. Press Shift+F10. Narrator announces: “Rename menu item.” With JAWS, you hear: “Rename.” 4. Press the Down arrow key until you hear Narrator announce: “Move or Copy menu item.” With JAWS, you hear: “Move or Copy.” Press Spacebar to select. The Move or Copy Section dialog opens. 5. The focus is in the search field where you can start typing the name of the notebook, section, or section group you want to move or copy the section to. The search results are listed below as you type. To navigate the results, use the Up and Down arrow keys. Narrator announces the names as you move. 6. When you have found the correct destination, press the Tab key to navigate to the dialog buttons. The first button is Move. If you want to copy the section instead, press the Tab key again to navigate to the Copy button. Press Spacebar to select. The section is moved or copied. Move or copy a page 1. In a notebook, press Ctrl+Alt+G to open page navigation. 2. Use the Up or Down arrow keys to navigate to the page you want to move or copy. Narrator announces the page names as you move. 3. Press Spacebar to select a page, then press Ctrl+Alt+M. The Move or Copy Pages dialog opens. 4. The focus is in the search field where you can start typing the name of the notebook, section, or section group you want to move or copy the page to. The search results are listed below as you type. To navigate the results, use the Up and Down arrow keys. Narrator announces the names as you move. 5. When you have found the correct destination, press the Tab key to navigate to the dialog buttons. The first button is Move. If you want to copy the page instead, press the Tab key again to navigate to the Copy button. Press Spacebar to select. The page is moved or copied. Remove a notebook 1. In Windows, press the Windows logo key and type “File Explorer.” Press Enter. 2. The File Explorer window opens. Focus is on the Desktop folder. Use the arrow keys to navigate the folders and items in the window. Narrator announces the items as you move. Press Enter to open a folder. Tip: On your computer, the default location for saving notebooks is Documents > OneNote Notebooks. 3. When on the correct notebook, press Shift+F10 to open the context menu. Narrator announces “context menu.” 4. Press the Down arrow key repeatedly until you hear: “Delete menu item.” With JAWS, you hear: “Delete.” Press Enter to select. The notebook is removed. Remove a section or a section group 1. In a notebook, press Ctrl+Shift+G to go to section navigation. 2. Use the Right or Left arrow key to go to the section or section group you want to remove. 3. Press Shift+F10 to open the context menu. Narrator announces: “Rename menu item.” With JAWS, you hear: “Rename.” 4. Press the Down arrow key repeatedly until you hear: “Delete menu item.” With JAWS, you hear: “Delete.” Press Enter. 5. A confirmation dialog opens. Narrator announces: “Microsoft OneNote dialog, No button.” Press the Left arrow key once to move to the Yes button, and press Enter. The section or section group is removed. Remove a page 1. In a notebook, press Ctrl+Alt+G to go to page navigation. 2. Use the Up and Down arrow keys to go to the page you want to remove. 3. Press Shift+F10 to open the context menu. Narrator announces: “Rename Save a notebook to OneDrive If you want to share a notebook, make sure it is saved to OneDrive. Save a new notebook to OneDrive When creating a new notebook you want to share, save it directly to OneDrive. 1. Press Alt+F. With Narrator, you hear: “File menu.” With JAWS, you hear: “Backstage view. File info tab.” 2. Press N. With Narrator, you hear: “Selected. New tab item.” With JAWS, you hear: “New tab.” 3. To select the saving location, press the Tab key, and use the Up or Down arrow key until you hear the OneDrive location you want. 4. To name the new notebook, press the Tab key. You hear: “Enter a notebook name.” Type in the new notebook name. 5. To create the notebook, press Enter. With Narrator, you hear: “Microsoft OneNote dialog. Invite people button.” With JAWS, you hear: “Your notebook has been created. Would you like to share it with other people?” 6. To share the new notebook with other people, press Enter. You are directed to the Share tab, where you can choose the people with whom you would like to share your notes. To learn more about sharing your notebook, refer to Share a notebook. Move a notebook to OneDrive If you have a notebook that you would like to share, but it’s not saved to OneDrive, you can move it. 1. Make sure the notebook you would like to move is opened. 2. To move the notebook to OneDrive, press Alt+F, and then press H. With Narrator, you hear: “Selected. Share tab item.” With JAWS, you hear: “Share tab.” 3. To select a location, press the Tab key, and use the Up and Down arrow keys, until you hear the OneDrive location you want. 4. If you want to change the name of the notebook before saving it to OneDrive, press the Tab key. You hear: “Enter a notebook name.” Type in a new name. 5. To move the notebook, press Enter. The notebook is saved to OneDrive. You hear the syncing progress. If syncing to OneDrive succeeds, with Narrator you hear: “Microsoft OneNote dialog. OK button,” and with JAWS, you hear: “Your notebook is now syncing into the new location.” Press Enter. You can now choose the people with whom you would like to share your notes. To learn more about sharing your notebook, refer to Share a notebook. Share a notebook Select the notebook you want to share and invite people to collaborate on it. 1. Make sure the notebook you would like to share is opened. 2. To share the notebook, press Alt+F, and then press H. With Narrator, you hear: “Selected. Share tab item.” With JAWS, you hear: “File. Share tab.” 3. To invite people to collaborate via email, press S. You hear: “Share with people tab.” 4. To select the people you want to invite, press Y, 1. You hear: “Type a contact name.” Type in the names or emails of people you want to invite. 5. By default the people invited can edit your notebook. If you want them to just be able to view the notebook, press Alt+H, then press Y, 4, and then the Down arrow key. You hear: “Can view.” To select it, press Enter. 6. Press the Tab key until you hear “Share button,” and press Enter to share the notebook. Get a notebook link Instead of sending invitations, you can also send a link to your colleagues via email or IM. 1. Make sure the notebook you would like to share is opened. 2. To share the notebook, press Alt+F, and then press H. With Narrator, you hear: “Selected. Share tab item.” With JAWS, you hear: “File. Share tab.” 3. To get a link to share your notebook, press L. You hear: “Get a sharing link tab.” 4. Choose what you want to do: To enable sharing, press Y, 4. With Narrator, you hear: “Disable link button.” With JAWS, you hear: “Share. Get a sharing link. Create link.” To copy the link, press the Left arrow key, and then press Ctrl+C. To only permit others to view the notebook, press Y, 2. With Narrator, you hear: “Disable link button.” With JAWS, you hear: “Share. Get a sharing link. Create link.” To copy the link, press the Left arrow key, and then press Ctrl+C. Share a part of your notes Sometimes you want to share a specific part of your notes, such as a page or section. To do that, you can export the page or section you want to share to a location on OneDrive. 1. Make sure the page or section you want to share is active. You can only export the current page or section in your notebook. 2. Press Alt+F, S. With Narrator, you hear: “Selected. Export tab item.” With JAWS, you hear: “Backstage view. File. Export tab.” 3. Choose what you want to export: To export the current page as a OneNote file (*.one), press P, O. You hear: “Save as dialog.” To save in other formats, press P, then press the Tab key, and use the Up and Down arrow keys until you hear the desired format. To export the current section as a OneNote file (*one), press S, O. You hear: “Save as dialog.” To save in other formats, press S, then press the Tab key, and use the Up and Down arrow keys until you hear the desired format. Note: You can export your notes to other formats: Word document (*.docx or *.doc), PDF (*.pdf), XPS (*.xps), or Web Page (*.mht). 4. If you want to change the file name, type in a file name, and press Enter to save. 5. You can now share the saved document with other people. See the author, date, and time of an update Any changes introduced by any of the authors of a shared notebook are automatically updated in OneDrive. When you edit your notes, you can check the author of an update and when the update was made. 1. In the editable text, use the Up or Down arrow key to browse your notes. The screen reader reads the items for you as you browse. 2. To check who made a change and when, press Shift+F10, and then Shift+T Taking and formatting notes Typing and editing notes Open a new OneNote window. The ribbon containing the options specific to the currently selected tab is located immediately below the row of ribbon tabs. The section tab collection, which contains all the sections in the current notebook, as well as the button for switching to other notebooks. The page tab collection, which contains all the pages in the current section. The search box, which you can use with the following scope options: Current page Current section Current section group Current notebook All notebooks To navigate to the ribbon tabs, press Alt. You hear “Ribbon tabs,” followed by the name of the currently selected tab. To move between the ribbon tabs, use the Left or Right arrow key. To navigate from the ribbon tabs to the ribbon, press Enter. You hear the name of the first option on the ribbon. To navigate between options on the ribbon, press the Tab key (forward) or Shift+Tab (backward) until you hear the option you want, and press Enter to select it. You can also use keyboard shortcuts to select options directly. Navigate between views In addition to the main view, OneNote has the following commonly used views. File menu In the File menu, you can access commands such as New, Open, Share, Export, and Send, or access your Office account information. 1. Press Alt+F to open the File menu. 2. To move between the menu tabs, press the Up or Down arrow key until you hear the one you want and then press the Tab key to select it. Use the Tab key and arrow keys to navigate the tab, and press Enter to make a selection. 3. To close the File menu and return to the main view, press Esc. Options window In the OneNote options window, you can access settings such as personalization, proofreading settings, and language preferences. 1. Press Alt+F, T to open the Options window. 2. To move between the option categories, press the Up or Down arrow key until you hear the one you want and then press the Tab key to select it. Press the Tab key (forward) or Shift+Tab (backward) to move between the different options in a category and press Spacebar to toggle the currently highlighted option. 3. To close the Options window and return to the main view, press Enter. Full page view When you use the full page view, all main view elements except the main content area and the button for switching views are hidden. This makes it easier for you and your screen reader to navigate through a page. To switch to full page view, press F6 until you hear “Navigation controls, full page view,” and press Enter. To return to normal view, press F6 until you hear “Navigation controls, normal view,” and press Enter. Explore a notebook Each OneNote notebook is divided into sections, which are further divided into pages. Each page contains one or more note containers as well as the title and date of the page. Screen readers refer to note containers as “content blocks.” To move within the main content area, use the arrow keys. To move to another page in the current section, press F6 until you hear “Page tab collection,” press the Up and Down arrow keys to find the page you want, and press Spacebar. The selected page opens in the main content area and the focus moves there. To move to another section in the current notebook, press F6 until you hear “Section tab collection,” press the Left and Right arrow keys to find the section you want, and press Spacebar. The selected section opens in the main content area showing the last page you visited and the focus moves there. To switch to another notebook, press F6 until you hear “Section tab collection,” press the Left arrow key until you hear “Click to view other notebooks,” followed by the name of the current notebook, and press Spacebar to open the menu. Then press the Up and Down arrow keys to find the notebook you want, and press Spacebar. The selected notebook opens in the main content area showing the last page you visited and the focus moves there.
