Skype for Business

Open Skype for Business and sign in 1. Press the Windows logo key, type Skype for Business, and press Enter. You hear: “Skype for Business.” 2. If needed, press the Tab key until you hear: “Sign-in address.” Type your email address, and press Enter. Note: Sign in with your organization credentials—not with your Skype name or Microsoft account. 3. You hear: “Password, editing text.” In JAWS you hear: “Password, edit, type in text.” Type your password. Tip: To save your password, press the Tab key until you hear “Unchecked, Save my password, check box,” (in JAWS you hear “Save my password, check box, not checked”) and then press Spacebar to select the Save my password check box. You hear: “Checked.” The next time you open Skype, you can simply press Enter to sign in to your account. When done, press Enter. Tips: You can set Skype for Business to start automatically when you start Windows. For instructions, refer to the section Automatically start Skype when you start Windows below. You can also start Skype for Business and join an online meeting through a link in a Skype meeting invitation. In the meeting invitation, press the Tab key until you hear “Join Skype meeting, link,” and then press Enter to join. Automatically start Skype when you start Windows 1. In Skype for Business, press Alt+T, O to open the Options dialog. You hear: “Skype for Business, Options, General.” In JAWS you hear: “Leaving menus, tree view, General, 1 of 15.” 2. To go to the Personal tab, press P. You hear: “Personal tab item.” In JAWS you hear: “Personal.” 3. Press Alt+U. You hear whether the Automatically start the app when I log on to Windows check box is checked or not. 4. Press the Spacebar until you hear: “Checked.” 5. Press Enter. The Options dialog box closes, and the focus moves to the search field in the main window. Change your availability status When Skype for Business starts, some screen readers read your name, availability, location, and a personal note, which appear at the top of the main window and can be seen by other users. You can change your presence information so that other people see your availability status. 1. In Skype for Business, press the Tab key until you hear: “, Change my status, button.” 2. To open the status menu, press Spacebar. 3. To change your status, press the Tab key until you hear the name of the option you would like to display in your profile. To select an option, press Spacebar. Call a contact 1. In the Skype for Business main window, press the Tab key repeatedly until you hear: “Search input, editing. Find someone or a room, or dial a number.” Tip: If you know the person’s phone number, you can just type the number in the search field and press Enter to start the call. 2. Type the person’s name, address, or phone number. The search is performed while you type. 3. To move to the list of results, press the Tab key repeatedly until you hear “Search results” and the name of the first person on the list. If there are more results, browse the list using the Down and Up arrow keys. The screen reader announces the contacts as you move. To select a person, press Enter. Chat via IM 1. In the Skype for Business main window, press the Tab key repeatedly until you hear: “Search input, editing. Find someone or a room, or dial a number.” Type the person’s name, address, or phone number. The search is performed while you type. 2. To move to the list of results, press the Tab key repeatedly until you hear “Search results” and the name of the first person on the list. If there are more results, browse the list using the Down and Up arrow keys. The screen reader announces the contacts as you move. To select a person, press Enter. 3. A menu opens. You hear: “Send an IM, button.” To start the chat, press Enter. 4. The focus is in the text input field. Type your Keep audio volume constant when using Narrator When Narrator is on, it by default reduces the volume of other audio sources. This causes the audio volume in Skype for Business calls and meetings to be difficult to hear. 1. Press the Windows logo key. You hear: “Start Window. Search box editing.” In the search box, type “narrator”. The search results list opens. 2. In the search results list, press the Down arrow key until you hear “Change Narrator settings,” and press Enter. You hear: “Settings window, On, Narrator toggle switch.” 3. In the Narrator settings, press Tab until you hear: “On, Lower the volume of other apps when Narrator is running, toggle switch.” 4. Press Spacebar. You hear: “Off, Lower the volume of other apps when Narrator is running.” Make an audio call 1. To move to the Contacts tab, press Ctrl+1. You hear: “Search input, editing, find someone or a room.” Type the name of the contact you want to call. You hear: “Search results, pane updated.” Press the Down arrow key to move to and through the search results list until you hear the correct contact name. 2. To see more options for this contact, press Enter. An options menu opens. 3. In the options menu, press Tab until you hear “Call ,” and then press Spacebar. 4. When you hear “Skype Call,” press Enter. The Skype for Business window opens and you hear a ringing sound. 5. After the call connects:To mute or unmute your microphone, press Windows logo key+F4 or Tab until you hear “Microphone button,” and press Enter. To put the call on hold press Ctrl+Shift+H. You hear: “This call is on hold.” To resume the call, press Ctrl+Shift+H or Tab until you hear “Resume Call button,” and press Enter. To transfer the call, press Ctrl+Shift+T. This opens the contact picker during a peer-to-peer call. Note: Transferring calls feature is not available with the basic Skype for Business standalone plan or with all Office 365 subscriptions. To display the dial pad press Ctrl+Shift+D. To select more call controls (Devices or Speaker volume), press Tab until you hear “Call Controls button,” and press Enter. Press Tab to move to an option, and press Enter. To add video to the call, press Ctrl+Shift+Enter, or Tab until you hear “Video button,” and press Enter. To add instant messaging to the call, press Tab until you hear “Off, IM pane button,” and press Enter. To invite other contacts to join the call, press Alt+V or Tab until you hear “Invite More People button,” and press Enter. A new window opens with the focus on the edit field. Type in a name or use the Down arrow key to select a name on the list. Press Tab until you hear “OK button” and then press Enter. To end the call, press Tab until you hear “Hang up,” and press Enter or press Alt+Q (works only in peer-to-peer calls, not in conference calls). Answer an audio call When a contact calls you, the Skype for Business notification window opens and you hear a ringing sound, and “Alert: Incoming Skype for Business Call from . Press Windows+Shift+O to accept, Windows+Esc to decline.” To answer the call, press Windows+Shift+O. If you don’t want to accept the call, press Windows+Esc. Add a person or group who is in your organization 1. To launch Skype for Business, press the Windows logo key, type Skype for Business, and press Enter. By default, Skype for Business opens in Contacts view, with the Find someone search box selected. Tip: To open the Contacts view from another view in Skype for Business (such as the Conversations tab or the Meetings tab), press Ctrl+1. 2. In the Find someone search box, type a name, IM address, phone number, or Exchange distribution list name. If your organization uses Office 365 Groups, you can also search for a group name. As you type, search results are listed, and My Contacts tab appears. Note: Depending on your account type, two other tabs may appear, Skill and Chat rooms. When My Contacts is selected, Skype for Business searches in your organization’s address book. 3. Press the Down arrow key until you hear the name of the person you want to add. 4. Press Enter to open a popup menu. You hear: “Send an IM button.” 5. Press Tab until you hear “More Options button,” then press Enter to open the menu. To add the person or group to your Favorites group in the contacts list, press A. To add the person or group to another group in your contacts list, such as Other Contacts, press O, then use the Down arrow key to browse your groups. When you hear the name of the group you want, press Enter. Add a person or group who is not in your organization Note: Your administrator enables or disables the Skype Directory search feature in accordance with your organization’s search policy. If a Skype Directory tab is not available, you won’t be able to search for Skype users. If the person or group you want to add is not in your organization, but you know they have a Skype account: 1. Open Skype for Business. The Skype for Business window opens in Contacts view, with the Find someone search box selected. 2. In the Find someone search box, type a name, IM address, or phone number. As you type, search results are listed under the My Contacts tab. Note: If the Skype Directory is enabled in your organization, Skype for Business searches the millions of Skype users. Knowing their Skype ID and location of the person or group you want to add helps narrow the search. You can also search using their email address or Microsoft account, for example, John@outlook.com. 3. Press Tab until you hear: “My Contacts Search, 1 of 3.” 4. Press the Right arrow key until you hear “Skype Directory Search, 2 of 3,” then press Enter. You hear: “Selected.” 5. Press Tab twice to change focus to the search results, then press the Down arrow key until you hear the name of the person you want to add. 6. Press Enter to open a popup menu. You hear: “Add to group button.” Press Enter to open the menu. To add the person into your Favorites list, press A. Press the Down arrow key until you hear the name of the group you want, then press Enter. Note: When you add a Skype contact in Skype for Business, a notification is sent to the person you’ve just added. The person has to accept your request before you can send messages to them. Delete a contact from your list 1. In the Contacts view, press the Tab key until you hear the name of a contact. If needed, press the Down arrow key until you hear the name of the contact you want to remove. 2. Press Enter to open the popup menu. You hear: “Send an IM button.” 3. Press the Tab key until you hear “More Options button,” and press Enter to open the menu. 4. To remove the person or group from your Contacts listhv Join an online meeting The Skype Meetings view displays a list of your meetings for the day. You can join a Skype meeting right from the Meetings tab. Tip: The default Narrator behavior is to lower the volume of other audio sources while Narrator is running. This means the volume in Skype for Business calls and meetings can be too low to hear well. To turn off this setting, press the Windows logo key+I to open Windows Settings, and then type Narrator in the search box and press the Down arrow key until you hear: “Narrator settings.” Press Enter, and then press the Tab key until you hear: “On, Lower the volume of other apps when Narrator is running, toggle switch.” Then press Spacebar to toggle the setting on or off. 1. In the Skype for Business main window, press the Tab key until you hear “Contacts,” “Conversations,” “Chat rooms” (only available for some Skype for Business accounts), “Phone,” or “Meetings.” What you hear depends on which tab is currently selected. 2. Press the Left or Right arrow key until you hear “Meetings,” and then press Enter. The Meetings tab opens. 3. Press the Tab key until you hear: “Today.” Press the Down arrow key to move through your list of meetings for the day. You hear each meeting time and subject as you move. 4. To join the currently selected meeting, press Enter. 5. If you get the Join Meeting Audio dialog, select the audio option you prefer, and then press Enter. 6. If you are not the meeting organizer, your microphone may be automatically muted when you join a meeting. To unmute your microphone, press the Windows logo key+F4 or press the Tab key until you find the Unmute button, and then press Enter. 7. During the meeting, the following options are available: Useful commands To start a chat, press Ctrl+W, and then type your message. To send the message, press Enter. To start a video, press Ctrl+Shift+Enter. To mute your speaker, press the Windows logo key+F4. To add participants, press Alt+V. The Invite by Name of Phone Number window opens. Type the contact, and then press Enter. To access the dial pad, press Ctrl+Shift+D. You hear “Skype call out.” To share content, such as your screen or PowerPoint slides, press the Tab key until you hear “Share content button,” and then press Enter. To access more options, for example, to start recording your call, press the Tab key until you hear “More options button,” and then press Enter. Exit an online meeting 1. To leave the online meeting, press Alt+Q. A How was the call quality? dialog opens. To close it, press Esc. 2. The focus moves to the Conversation window. If you want to rejoin the call, press the Tab key until you hear “Rejoin Skype Meeting button,” and then press Enter. This feature is not available for Office 365 subscriptions. Use the sharing toolbar When you are sharing your screen or a program, Skype for Business displays a toolbar at the top of the screen with buttons to control the sharing. On the sharing toolbar, you can: Give control of your desktop to other people in the meeting, or take back control, if someone else has control. Stop presenting your screen or a program. Pin the toolbar to make it always visible. 1. To move the keyboard focus onto the toolbar, press Ctrl+Shift+Space. 2. To move between items on the toolbar, press Tab. You hear your screen reader announce the item. 3. To select an option on the toolbar, press Enter. 4. To switch the focus back into the call or meeting window, press Esc. Share your screen or program Note: To be able to share content in a Skype for Business meeting, you need to be a presenter. If the option is unavailable, ask one of the presenters to give you presenter rights. Tip: When you share your desktop, everyone in the meeting can see all of your programs, files, and notifications. Close or minimize programs you don’t want people to see, before you start presenting your desktop. Tip: While you’re sharing a single program, your Skype for Business status changes to In a conference call. When you’re sharing your entire desktop, the status changes to Presenting, and you won’t receive instant messages or calls. 1. To move through the chat or meeting window controls, press Tab until you hear: “Share button, share content.” 2. To open the Share Content menu, press Spacebar. You hear: “Share your desktop.” 3. To present your entire desktop to all meeting participants, press Enter. Notes: If you hear “Skype for Business window, Cancel button,” the following notification is displayed: “FYI: People will be able to see everything on the monitor you chose.” If you don’t want this notification to appear each time you share your desktop, press Tab until you hear “Unchecked, Don’t show this again, check box” and press Spacebar. To start sharing your desktop, press Tab until you hear: “OK, button.” Your entire desktop is now visible to everyone in the meeting. The focus returns to the Skype for Business meeting window. 4. To present only one program, on the Share Content menu, press the Down arrow key until you hear: “Share a Window.” Then press Enter. This opens the Share a Window window, which lists all active programs on your computer. The focus is on the Cancel button. You hear: “Share a Window, window, Cancel button.” To move to the first available program to present, press Tab. You hear the name of the program. To move through the available programs, press the Left or Right arrow key. When you hear the name of the program you want to present, press Spacebar. The Share button is now enabled. Then press Enter. This shares the pr Get to know the Skype for Business layout Using Skype for Business, you can schedule and conduct online meetings that include as many as 250 attendees. Plus, you can call colleagues and send messages to them. The elements included in the Skype for Business UI change based on the communication element you select: contacts, conversations, phone calls, or meetings. If you’re a person with low vision or visual disabilities, or if you have limited mobility, build a mental model of the Skype for Business UI. The areas and specific elements of the UI are described in the table below. Variable number of rows: Information that corresponds to the tab you selected If you select the Contacts tab, the following information is shown: Find someone search box. Searches for people in your organization or in the Skype for Business directory (if available in your organization). Contact view tabs: Groups tab. Groups and shows your contacts by your favorites, your custom groups, and other contacts. Status tab. Groups and shows your contacts by their status, such as Online or Away, and so forth. Relationships tab. Groups and shows your contacts by their privacy relationship with you, such as Colleagues, Friends and Family, or Workgroups, among others. New tab. Shows the people who have added you to their contact lists. Add a contact, create a group, and customize the Contacts list button. Adds contacts, creates groups, and sets display options. The contact details for each person include name, status, and device capabilities (such as Video Capable). If you select the Conversations tab, the following information is shown: All conversations tab. Shows all your current and past conversations. Missed conversations tab. Shows your missed conversations. Calls tab. Shows your call history. Each of your conversations or each call in your call history. If you select the Phone tab, the following information is shown (if enabled for your account): Find someone or a room, or dial a number search box. Searches for people in your organization or enter a phone number to dial. Dial pad buttons. Enables you to enter a phone number or redial the last phone number and make a phone call. See Voice Mail Options menu. Shows a menu that includes the following commands: Call Voice Mail, Change Greetings, and Set Up Voice Mail. Each of your voice mails. If you select the Meetings tab, the following information is shown: Meet Now button. Starts a meeting now. Each of your meetings grouped by the scheduled date. Last row: Information about your primary device Select Primary Device menu. Shows audio and video information about your primary device. Navigate using the keyboard You can use Skype for Business with keyboard shortcuts. For details, refer to Keyboard shortcuts in Skype for Business. The following are some frequently used keyboard shortcuts for Skype for Business: To move forward through the elements of the Skype for Business UI, press the Tab key, or to move back, press Shift+Tab key. To browse within the Menu Bar or move between tabs, press the Right or Left arrow keys. To move between items in a list pane, press Up or Down arrow keys. To select an item, press Enter. To close a dialog or move focus back, press Esc. To show or hide the menu bar in the top row of the Skype for Business main window, press Alt. There are four menus on the menu bar: File (Alt+F), Meet Now (Alt+M), Tools (Alt+T), and Help (Alt+H). You can open the items in the menu by first pressing the shortcut for the menu, and then the letter (underlined) for the menu item. For example, to open the Options menu item in the Tools menu, press Alt+T, O. To open each tab in the main window: Press Ctrl+1 to open the Contacts tab. Press Ctrl+2 to open the Chats Rooms tab. Press Ctrl+3 to open the Conversations tab. Press Ctrl+4 to open the Phone tab. Press Ctrl+5 to open the Meetings tab. To start communicating with a contact, on the Contacts list, press the Up or Down arrow key repeatedly until you hear the contact, and then press Enter to open the options menu. Press the Tab key to navigate the menu. To select an option, press Enter. Special considerations for Skype for Business Change IM text size If you want to change the size of text displayed in conversations, perform the following steps: 1. In a conversation window, press the Tab key until you hear “More options button,” and then press Enter. The More Options menu opens. 2. To select the IM Text Display Size menu item, press T. 3.
